Recreation Commission Minutes 03/19/09
Evendale Recreation Commission
March 19, 2009

 Called to order at 7:34am.

Roll call: David Nichols, Stiney Vonderhaar, John Doviak, Michele Gottschlich, Wayne Mosley, Pamela Meyers. Absent: Gus Janszen (work issue) and Alex Mosley (testing at school).

Recognition of visitors: Don Chamberlin

Motion to approve minutes: Motion to approve with one change made by Michele Gottschlich; seconded by John Doviak. Motion approved.

Additions to the agenda: none

New Business:
A. The fees sub-committee met on March 17, and made several recommendations to present to Commission. George Snyder  (Village CFO) and the council finance committee, requested that each department conduct an “exercise” to reduce costs and/or generate revenue by reducing 10% of their overall budgets. The sub-committee explored raising membership and program fees and rental rates while cutting some of the “bells and whistles” within our programs, activities, and events; reduce July 4th and Lite Up expenditures; no “new” program development; no out-of-state conferences for staff (except for the Director); reducing pool hours; hiring freeze; and cutting staff clothing allowance. While this was just an exercise, the recommendations will be given to George by March 27, 2009.

Motion was made by Wayne Mosley to recommend opening the pool at noon on Saturdays; tweaking the department cost recovery pyramid for our programs, activities, and events; canceling the staff clothing allowance; increasing fees for the Fun in the Sun program and shelter house rental fee starting in 2010. John Doviak seconded the motion. Motion approved.

 
Old Business:
A. A note about the Lifestyle Essentials (LE) report - David did not notify Jennifer Shapiro to add a comment section to the fitness report. He has spoken with her to include the section in next month’s report. He read this month’s comment which stated LE should spend more time on cleaning and less time on it’s billboards because the cardio equipment is filthy. Another patron, upset by this card, responded to the comment stating the facility and equipment are not filthy. The original complainant has since written a card looking forward to the new fitness classes. Stiney Vonderhaar stated he has been in the fitness center almost everyday since the beginning of the year and observed the staff (especially Layne) cleaning and that the facility and equipment are not dirty.

B. Trails Pamphlet is coming along very nicely. Gorman’s map needs to be updated. Griffin has also added another trail. A question was raised about getting universal markers so if someone needs help, they can call 911 and state they are at Evendale trail mark ___.  Gorman Trail open hours should also be added to the pamphlet. The pamphlet will be distributed, for the first time, during the Earth Day event on Saturday, April 25th.

Phi Lambda Pi:
A. Awards Night is this Saturday, March 21st.

B. The reunion plans are up and running. There are over 1000 current and former members in the database. The response to the “hold the date’ notices has been impressive.

C. Ham sales are underway.

D. Because of a change in the audit process, there might be a procedure change for hiring concession stand workers. Kim is working on this situation. In addition, PLP will now have a separate revenue and expense account.
